Job Opportunity: Document Controller & AssistantJoin our dynamic telecom organization and play a key role in supporting our projects and operations teams. As a Document Controller and Assistant, you will ensure the seamless management of project documentation, provide administrative support, and contribute to the success of high-impact initiatives in the telecom and energy sectors. This role requires proactive, detail-oriented professionals with expertise in document control systems, administrative support, and a passion for delivering excellence.ResponsibilitiesDocument Control ResponsibilitiesDocument Management & ControlWork under the direction of the Operation Manager and collaborate with project teams.Manage and organize all project documentation (incoming and outgoing) efficiently, ensuring alignment with company standards and compliance.Maintain accurate electronic records of all documents, including drawings, specifications, reports, and submission packages.Oversee the downloading, internal distribution, and filing of contractor submissions.Ensure document naming conventions and revision histories meet established standards. Highlight non-compliance to relevant team members.Facilitate the uploading and distribution of reviewed documents via workflows.Project SupportPrepare and deliver document issue packages to meet project deliverables as defined by project leaders.Assist in the preparation and updating of distribution matrices and advise on changes.Produce detailed reports, including:Weekly incoming and outgoing reportsTracking registers for document submissions and returnsRFI tracking lists and reports on late or pending responsesAddress late items by proactively escalating issues to team leaders.CollaborationServe as a proactive team member, contributing to the overall efficiency of the document control process.Engage with project consultants, contractors, and team leaders to ensure timely and accurate information flow.Undertake reasonable additional tasks as assigned by the Document Control Manager or team leaders.Assistant ResponsibilitiesAdministrative SupportProvide general administrative support to the project and operations teams, ensuring smooth day-to-day operations.Organize and schedule meetings, appointments, and maintain calendars for the team.Prepare meeting minutes, action plans, and follow up on outstanding tasks.Assist in preparing presentations, reports, and correspondence as required.Operational AssistanceCoordinate communication between internal and external stakeholders, ensuring timely responses to inquiries.Support the procurement process by organizing and tracking purchase orders, invoices, and other documents.Assist in maintaining project and operations databases, ensuring accurate and up-to-date information.Support for ComplianceHelp maintain compliance with company policies and procedures, including document filing and audit readiness.Assist in the preparation of materials required for internal and external audits.
